Process Flow 

The process is represented by two personas:
  • Anna Kowalska (Requester)
  • Dominik Kowalski (HR Service Center Specialist)  

Workflow automation generates:

  • PDF file and stores it in Document Management System
  • S/4 HANA Service Request with category and form reference

 

Process Steps & Benefits

Step 1 – Service Catalog

  • An employee wants to request a maternity leave
  • She accesses the service catalog in the Employee Self Service

Step 2 – Form selection

  • Employee navigates to Human Resources catalog and selects the „maternity leave“ service

Step 3 – Filling and Submiting

  • Maternity leave form opens
  • User fills required fields and submits the form

Step 4 – Checking ticket status

  • User enters Inbox to check if the ticket is created successfully

  • User opens „My Files” tab to download PDF document generated after submiting form

List of requests

Service request is automaticly created in S/4HANA after submiting the form. The HR Service Center Specialist can find it his inbox

  • Correctly categorized and prefilled with requester data

    Service request description

    Service request stores the form data as machine readable JSON document for further RPA automation.

    PDF Verification

    • HR service Center Specialist opens pdf file and verify if provided information is correct
